Duke University Conference Services is pleased to offer customized packages for on-line conference registrations. Participants from all over the world can register quickly and easily for your next event. Conference Services can custom design a conference web page with the latest information about your event or conference and take registration information and payment over a secure web site. We also offer a wide-range of reporting capabilities to give our clients up-to-the minute information about the progress of your event or conference. Basic Registration Package

- Design of custom registration web site with specific conference information and logo
- Accept on-line registrations (including payments through secure site)
- Deposit all registration fees; updated reports show payment information by each registrant
- Send email confirmations to each participant
- Provide client with registrant numbers and financial information as requested
- Provide excel files of registrant contact information (mailing address, phone, fax and email) as requested

Travel expenses paid directly by client
- Provide complete meeting coordination including:
- Venue location information
- Hotel contract negotiations
- Space reservations
- Audio-visual requirements
- Food and Beverage services
- Transportation
- On-site logistics management
- Design of custom registration web site with specific conference information and logo
- Act as point of contact - registrants call Conference Services directly with questions regarding events and/or registrations
- Collection and processing of mailed or faxed registrations
- Accept on-line registrations (including payments through secure site)
- Deposit all registration fees; updated reports show payment information by each registrant
- Send email confirmations to each participant
- Provide client with registrant numbers and financial information as requested
- Provide excel files of registrant contact information (mailing address, phone, fax and email) as requested
- Print participant namebadges and place into Duke namebadge holders
- Create participant list with contact information including email addresses
- Produce welcome packet including welcome letter, campus map, campus information and local information. The program may wish to provide other information such as program schedule or other detailed information about the program.
- Manage onsite conference registration for two days - distributing namebadges, welcome packet and other information determined by the program (additional time can be negotiated)
- Collect and receive registrants' balances on -site
- Produce namebadges for walk-up registrants
- Create addendum to the participant list with new registrants
Conference Services accepts the following payment types: American Express, Discover Card, Master Card, Visa, cash, check, IRI, and institutional purchase orders. Bank card charges for all credit card sales will be recharged back to the client at the prevailing rate, currently three (3) percent.
